An event focused on skin improvement that also feels like pure smoothness. For an international player in the beauty industry, we were allowed to organize the complete registration, hotel coordination, and activities for their annual Academy in Dubrovnik. Three hundred participants from all over Europe. One mission: learn, connect, and gain inspiration for a week at a five-star level.

The setup

Dubrovnik is not the easiest place to bring 300 professionals together. Yet the choice was quickly made: the five-star Sun Gardens Hotel offers us the perfect balance of luxury, space, and Mediterranean energy. From the moment the registration went live, our team was working at full speed. For months, we kept all the plates spinning: from room allocation to dietary requirements and no-shows.

Our starting point? Every participant had to feel welcome, without our client having to get lost in details. That's the GSE The Agency style: sharp execution, smooth experience.

300 people, one flow

With an event of this scale, timing is everything. Especially when the agenda is filled with keynotes, training sessions, and dinners at different locations. Guests came for knowledge and left with new connections as a bonus. And this didn't happen by chance; every detail was considered and coordinated with energy, rhythm, and atmosphere.

And when the lines at the lunch buffet got a bit too long on the first day, we switched gears lightning fast. The next day, an extra inviting buffet was ready outside. Result: happy faces and a flawless continuation. That's how it should be.

The wow moment

If there was one moment when everything came together, it was during the boat trip on the old ships. The sun was setting over the Adriatic Sea, glasses were raised, and conversations shifted from business to personal. This is the kind of evening we live for: The magic happens on its own. This is what we mean by meaningful connections. 

Lessons in perfection

This was the first major execution for our project manager, Thessa, lasting a whole week with hundreds of guests.. “Everything went so smoothly. That's not a given for an event of this size. The collaboration with the hotel was excellent, and we really got everything we could out of it.”

The customer thought the same thing. According to the participants, this was “The best edition ever.” And that says something, after years of collaboration. Plans for next year? Already in full swing.

What's next?

This project showed what GSE The Agency stands for: thinking big, staying close to people. It's not the checklist that makes the difference, but the vibe, the details, the lasting impression.

Dubrovnik proved once again that if you dare to go further, you come closer together.
